Important information about reservations and cancellations
Confirmations
You will receive a confirmation after each reservation booking, modification, or cancellation. Review the confirmation carefully. If you don’t receive a confirmation by e-mail, fax, or mail within five days after any transaction, contact the CVC Housing Bureau at (800) 221-3531.
Room Rates and Taxes
Make your reservation by July 24, 2013, to receive special CVC rates. After July 24, remaining rooms may be released, and the hotels may charge significantly higher rates. All rates are per room per night and are subject to a 15.23% tax and a $1.73 license fee (subject to change). Hotels may charge additional fees for rooms with more than two occupants. When making a reservation, please note room type and smoking preferences in the Accommodations and Special Requests sections of the Housing Form. The hotels will assign specific room types at check in, based on availability. Requests are not guaranteed.
Deposits
Online reservations will be accepted only with a credit-card guarantee. Reservations made by mail or phone will be accepted with a credit-card guarantee or check deposit for one night room and tax, payable to Travel Planners, Inc. All mailed requests and deposit checks must be received at Travel Planners by July 17, 2013. After this date, a credit card is required. Reservations and changes are subject to hotel availability.
Modification or Cancellation
You may modify or cancel reservations through the CVC Housing Bureau without penalty up until three days before your arrival. After this time, please contact the hotel directly. (Note that convention rates are only guaranteed until July 24, 2013.) Any cancellations made fewer than three days before arrival will result in forfeiture of the entire deposit.
